Career Opportunity

We are looking for candidates to fill an Administrative/Clerical Assistant position located at our San Diego, CA office. This position will support our Port Engineering Support Services contract.

 

Essential Duties and Responsibilities

  • Maintain daily presence in and manages functions of the San Diego office:
    • Fields phone calls and inquiries.
    • Receives visitors and controls office access.
    • Manages receiving and shipping.
    • Manages conference room reservations.
    • Prepares and executes Purchase Requests.
    • Manages office supplies.
    • Accountable for accurate and timely submission of bills to the Finance department.
    • Manages office assets and is accountable to the Property Manager.
    • Point of contact for Property Building Management Company.
  • Maintain the Port Engineer organization wall chart.
  • Develop forms and surveys.
  • Prepare PowerPoint presentations and briefings.
  • Provide on-site surge support for Company activities and special customer initiatives.
  • Prepare training and qualification certificates.
  • Prepare forms necessary for new hires to obtain VSB and NMD accounts.
  • Assist with and/or coordinate events to include but not limited to:
    • Port Engineer Training Symposium (PETS).
    • Port Engineer meetings.
    • Local training events.
  • Coordinate with the Chesapeake office to provide timely Port Engineer contract deliverable data input, updates, and validation to include but not limited to:
    • Personnel Status Report.
    • Personnel Underway and Temporary Duty Report.
    • Leave Tracker Report.
    • Port Engineer Contact and Ship Assignment Listing.
    • Planning Board for Maintenance Report.
    • Port Engineer Certification Report.
    • Commanding Officer Port Engineer Evaluation Metrics Report.
    • Mandatory Command Training Completion Reports.
    • Monthly Report (BZ, significant accomplishments, etc.).
    • Port Engineer Directory
  • Assist the Facility Security Officer:
    • Prepare Port Engineer base access and shipyard access forms.
    • Reports status of security posture changes and initiatives.
    • Prepares and routes System Authorization Access Request forms for creation of contractor NMCI accounts.
    • Executes Port Engineer security procedures for the West Coast
  • Other duties as assigned by the Assistant Program Manager.

 

Travel

  • This position includes a low level of travel to Fleet Concentration Support areas.

 

Education, Knowledge, Experience, Skills and Abilities Required

  • A high school diploma or GED equivalent is mandatory. Associate or bachelor’s degree from an accredited college or university is preferred.
  • Proficiency in the Microsoft Office suite and other database management tools and software, specifically advanced/expert-level skills with Microsoft Excel, Outlook, Word, PowerPoint, and SharePoint.
  • Experience working independently and managing several projects simultaneously.
  • Excellent written and verbal communication skills with attention to detail.
  • Strong interpersonal skills and present a professional decorum. Must be able to coordinate and facilitate events with senior executives.
  • Knowledge of Naval administrative and correspondence policies and instructions is desired.
  • Experience with preparing and facilitating meetings involving multiple organizations is desired.
  • Three to five years of professional experience is desired.

 

Qualifications

  • Active DoD Secret security clearance is highly desired; however, candidates eligible to obtain and maintain a DoD Secret security clearance will be considered. The selected candidate will receive a contingent offer if they do not hold an active clearance. A start date will be established once an interim Secret clearance is granted.
  • Must be a U.S. citizen.
  • Must maintain the capability to communicate with their supervisor or manager when not in the office.
  • Must possess a valid Driver’s
  • Must have reliable transportation to and from various work

 

Physical Requirements

  • Sitting for long periods of time, standing, walking, crouching, and kneeling
  • Reaching, handling, using equipment, keyboards, and mobile devices
  • Lifting boxes (files and supplies) up to 20 lbs.

In compliance with California's Equal Pay for Equal Work Act, the minimum salary for this position is $85,000 per year. The minimum salary excludes applicable benefits, bonuses, or performance spot awards.
