Essentail Duties and Responsibilities:

 

  • Provide administrative and receptionist support for Commander Naval Surface Forces Atlantic (COMNAVSURFLANT) Maintenance Assistant Chief of Staff (ACOS) (N43) and DEPUTY ACOS to include but not limited to:
    • Interface with senior military/civilian leadership and management personnel
    • Coordinate with CNSL Flag Admin with updating N4/N43 Org Charts.
  • Manage calendars and appointments using calendar management software. Coordinates with external organizations to plan, prioritize, and schedule meetings, appointments, and decision briefs.  Organizations include but are not limited to:
    • CFFC
    • NAVSEA
    • PEO SHIPS
    • NAVWAR
    • NAVSUP
    • Industry leaders
  • Support set up and execution of face-to-face and video teleconference (VTC) meetings and events for N43.
    • Schedule Secure VTC via NCTAMSLANT and reserve USS BORIE Conference Room for PEs to discuss PB4M’s with shipboard personnel.
  • Serve as the Subject Matter Expert on administrative practices for the department
    • Send classified and unclassified correspondence.
  • Create Binders for the Monthly PCO/PXO TYCOM Indoctrination which includes PE/CSPE Bios and the PE PCO/PXO Orientation Packets
  • Create and submit DISS Request (formerly JPAS) for access to non-CNSL commands.
  • Collect and submit muster reports for Active Shooter, Fire, or other events/drills.
  • Provide CNSL N43 Office support for Norfolk Waterfront
    • Prepare/submit Visit Authorization Letters for N43 ACOS’ signature for personnel requiring unescorted access to MARMC, CEP-200, and CEP-86.
    • Submit MAC Requests (Move, Add, Change) for N43 personnel who require updates/changes to their IT equipment.
    • Designated as CNSL’s Shipboard Visit Request POC. Submits forms to MARMC personnel who require access to waterfront ships and private shipyards.
    • Procure supplies including various hard hats, steel toe boots, masks, and protective eyewear for government PE’s.
    • Coordinate/schedule Microsoft Teams meetings for LSPE’s & PE’s.
  • Provide PE travel support.
    • Plan and modify trips and prepare trip reports.
    • Prepare No Cost Orders for PE travel.
    • Prepare and submit NATO Orders for PE travel.
    • Manage Government PE “no-cost” passports and renewals
    • Populate and submit APACS requests for all PE’s traveling overseas.
  • Provide PE support.
    • Coordinate Guest Speakers and reserve CEP-86 Auditorium for PE Maintenance Meetings.
    • Submits Property Pass documents for PE’s updating/exchanging government equipment.
    • Submit and issue Camera Passes for PE’s to document shipboard damage and/or progress with upgrades.
    • Create and submit MFOM/NMD and VSB Requests for PE’s access to portals/domains required to perform their duties.
    • Populate and submit SAAR Request Forms via LSPE/Security and IT Department for PE’s NIPR/SIPR Accounts and access to non-CNSL commands.
    • Generates access requests to JEBLC for AMPHIB ships for PE’s via base security.
  • Performs other administrative duties as required to support the mission and function of the command as approved by the Assistant Program Manager

Travel:

  • This position includes a low level of travel to Fleet Concentration Support areas.

 

Education, Knowledge, Experience, Skills, and Abilities Required:

  • A high school diploma or GED equivalent is mandatory.
  • Associate or bachelor’s degree from an accredited college or university is preferred
  • Must be trained in Naval Correspondence.
  • Must be able to coordinate and facilitate events; dealing with Flag level individuals
  • Must be adept at multi-tasking
  • Able to create organized processes out of chaotic and constantly changing events
  • Proficiency in the Microsoft Office suite and other database management tools and software, specifically advanced/expert-level skills with Microsoft Excel, Outlook, Word, PowerPoint, and SharePoint
  • Excellent written and verbal communication skills with attention to detail
  • Superb customer interaction
  • The following Knowledge, skills, experience, and abilities are desired:
    • Working knowledge of Naval administrative and correspondence policies and instructions in support of the Port Engineer Program
    • Experience with preparing and facilitating meetings involving people from multiple organizations
    • 5+ years of experience interacting with and supporting Executive Military and US Government Civilian personnel (0-6 and GS-15+)
    • Experience with working independently and managing several projects simultaneously
    • Extensive training, working level knowledge of best practices for administrative processes to include promulgation of C-Level or Top-Level organizational communications that include push and pull types of communications 

 

Qualifications

  • Active DoD Secret security clearance is highly desired; however, candidates eligible to obtain and maintain a DoD Secret security clearance will be considered. The selected candidate will receive a contingent offer if they do not hold an active clearance. A start date will be established once an interim Secret clearance is granted.
  • Must be a U.S. citizen.
  • Must maintain the capability to communicate with their supervisor or manager when not in the office.

Physical Requirements:

  • Sitting for long periods, standing, walking, crouching, and kneeling
  • Reaching, handling, and using equipment, keyboards, and mobile devices
  • Lifting boxes (files and supplies) up to 20 lbs.
